Many tradies use multiple payment methods — direct bank transfers, EFTPOS payments, cash transactions, and invoicing — which makes tracking more complex than it first appears.

GST and BAS Lodgement

If your trade business is registered for GST (mandatory once turnover reaches $75,000), you must lodge your Business Activity Statement (BAS) on time — either monthly or quarterly depending on your reporting cycle. Failing to lodge on time results in failure to lodge penalties, and late payment of the GST amount owing attracts the general interest charge.

Our team ensures your GST is calculated correctly from accurately reconciled records, your BAS is prepared and lodged on time every period, and all eligible input tax credits are claimed to reduce your GST liability. To claim GST credits, you must hold a valid tax invoice for purchases over $82.50 (including GST). We help you maintain organised records so that every credit you are entitled to is captured.

Payroll and Superannuation Management

If you employ workers — whether full-time, part-time, or casual — managing payroll and superannuation is a significant compliance obligation. Employers must calculate and withhold PAYG tax from wages, pay superannuation at the current rate of 11.5% for 2024-25 on ordinary time earnings, and report through Single Touch Payroll (STP) Phase 2 with every pay run.

Superannuation must be paid quarterly, by the 28th day of the month following the end of each quarter. Missing the deadline triggers the Superannuation Guarantee Charge (SGC), which includes the unpaid super, interest, and an administration fee — and is not tax deductible. The construction industry is covered by the Building and Construction General On-site Award, which sets out minimum pay rates, allowances, overtime rates, and leave entitlements that your payroll system must correctly apply.

Employee records must be retained for a minimum of seven years under Fair Work requirements. We configure Xero payroll to handle construction-specific award rates, allowances, and STP reporting, ensuring every pay run is compliant.

Invoicing and Accounts Receivable

Getting paid on time is one of the biggest struggles for tradies. Late-paying customers create cash flow pressure that can make it difficult to pay your own bills, wages, and tax obligations on time. Many tradies issue invoices but then forget to follow up when payments are overdue, leading to growing debtor balances and potential bad debts.

TPAR Compliance

If your trade business earns 10% or more of its total income from building and construction services, you must lodge a Taxable Payments Annual Report (TPAR) by 28 August each year. The TPAR reports all payments made to subcontractors during the financial year, including their ABN, name, and total gross amount paid including GST.

We track subcontractor payments throughout the year in Xero so the TPAR can be prepared accurately and efficiently when the deadline arrives. If a subcontractor does not provide an ABN, we ensure that the 47% no-ABN withholding is applied correctly and reported to the ATO.

Tax Deduction Tracking

Tradies are entitled to a wide range of tax deductions that can substantially reduce taxable income. Items costing $300 or less can be claimed immediately, and small businesses with turnover under $10 million can use the $20,000 instant asset write-off. Vehicle expenses can be claimed using the cents per kilometre method (88 cents for 2024-25, up to 5,000 km) or the logbook method (12-week continuous period, valid for 5 years). The car expense limit is $69,674 for passenger vehicles, but commercial vehicles such as utes, vans, and trucks are not subject to this cap.

Other deductible expenses include protective clothing and safety gear, trade licences and white card courses, phone and internet (work-related portion), home office expenses at 67 cents per hour, and insurance premiums.
